Cancellation & Refund Policy

   

 

Inclusive Minds Network aims to provide a high-quality learning experience for all participants. The following policy outlines the terms relating to course bookings, cancellations, transfers and refunds.


Training & Course Bookings

Places on Inclusive Minds Network courses are limited to ensure a high-quality and interactive learning experience.

A place on a course is considered confirmed once registration has been accepted by Inclusive Minds Network.

For individual bookings, payment is required before course materials are ordered and access to the MHFA England Learning Hub is issued, unless otherwise agreed in writing.

For organisational bookings, invoices are typically payable within 14 days, or prior to the course start date where the booking is made close to the training date.

Inclusive Minds Network reserves the right to delay issuing course materials, confirming course access, or sending joining instructions until payment arrangements have been confirmed.


Course Materials and Confirmed Bookings

Once a learner has been registered for a Youth Mental Health First Aid course, Inclusive Minds Network will order and issue course materials. These typically include the MHFA manual, workbook and access to the MHFA England Learning Hub.

These materials incur a non-refundable cost.

Once registration has been completed and materials have been issued:

  • Refunds are not normally available.
     
  • Where a participant can no longer attend, Inclusive Minds Network will make reasonable efforts to transfer the place to a future course date, subject to availability.
     
  • In exceptional circumstances where cancellation occurs more than 14 days before the course start date, a refund may be issued minus the cost of course materials and associated administrative fees.
     

Substitute Participants

If a confirmed participant is unable to attend, the booking organisation may nominate a substitute participant to attend in their place.

Inclusive Minds Network must be notified at least 48 hours before the course start date.

Substitute participants must meet the course requirements and will be registered on the MHFA England Learning Hub prior to the course beginning.

Where course materials have already been issued in the original participant’s name, these may still be used by the substitute participant.

Requests for substitutions made less than 48 hours before the course may not be possible where course registrations have already been finalised.


Minimum Participant Numbers

Inclusive Minds Network reserves the right to reschedule or cancel a course if the minimum number of participants required for the course to run is not reached.

Where this occurs, participants will be notified as soon as possible and offered the option to:

  • Transfer their place to an alternative course date, or
     
  • Receive a full refund of any course fees paid.
     

Inclusive Minds Network cannot accept responsibility for any additional costs incurred by participants, including travel, accommodation, or time booked away from work.


Course Scheduling and Combining Groups

Inclusive Minds Network aims to deliver courses as scheduled. However, where participant numbers are low, we reserve the right to reschedule a course or combine participants with another scheduled course to ensure a positive and interactive learning experience.

Where this occurs, participants will be notified as soon as possible and offered:

  • A place on the next available course date, or
     
  • A full refund if the alternative dates are not suitable.
     

Postponement or Rescheduling of Training

Requests to postpone or reschedule training must be made at least 14 days before the scheduled training date.

Where sufficient notice is provided, Inclusive Minds Network will make reasonable efforts to agree a mutually convenient alternative date.

If a request to postpone or reschedule is made within 14 days of the scheduled training date, Inclusive Minds Network reserves the right to charge a rescheduling fee, as preparation time and trainer availability will already have been allocated.

Where training has already been postponed once, further requests to reschedule may be treated as a cancellation, and cancellation terms may apply.


Service Cancellations (Consultancy, Workshops or Training)

Customers may cancel consultancy services, workshops or training bookings by contacting Inclusive Minds Network at least 14 days prior to the scheduled date.

Cancellations made within 14 days of the scheduled date may be subject to a cancellation fee.

Inclusive Minds Network reserves the right to cancel services or bookings due to unforeseen circumstances or events beyond our control. In such cases, customers will be notified as soon as possible and, where possible, training or consultations will be rearranged for an alternative date.

If alternative dates cannot be agreed, any payments made will be refunded in full.


Attendance and Certification

Participants must attend the full duration of the course in order to receive certification, in line with MHFA England requirements.

Inclusive Minds Network cannot issue certificates where significant parts of the training have been missed.


Refunds in Exceptional Circumstances

Refunds or transfers may be granted in exceptional circumstances, such as documented medical emergencies or other situations beyond the participant’s control.

Requests must be submitted in writing and will be reviewed on a case-by-case basis.
